    Salesforce Object Series | Episode 3 of 5 | The Opportunity Object for Marketing Admins - Pardot Life Hacks - #10 Oct 18, 2019

    Marketing admins are diving deeper into Salesforce now more than ever. Having a knowledge of the Salesforce objects will take your marketing automation operations up a notch. To all the #accidentaladmins and #accidentalmarketers out there, this one’s for you.

    Jennifer Lynn Schneider delivers episode three of the *Salesforce Object Series, The Opportunity Object. She defines the opportunity object and how it is the doorway to campaign attribution and essential segmentation.

    • An opportunity is created when you have monetary conversations with a contact that is directly related to your product or services.
    • The contact needs to be associated to the opportunity via the contact role under related lists. This allows for attribution to be given to the campaigns that contact is a part of.
    • You can use contact roles to create segmentation lists and also as a filter with reports.
    • An opportunity is NOT a person.
    • Ask your admin and sales team members what all the custom fields in Salesforce are used for. Which custom fields matter to them? Learn their process and use this in your marketing operations.
    • An opportunity stage is a default field and will not show up under the custom fields list. This default field can be used for automation rules or dynamic lists.
    • Use a dynamic suppression list to keep from emailing contacts that are at a crucial opportunity stage.

    • The opportunity object and the contact role related list is currently the only link back to attribution for the campaign. It is the key trigger to Pardot and Salesforce ROI.
    • Use an *Opportunities with Contact Roles* report. Navigate to filter and type in the contact role. Run the report and segment your database. You could then use this segmentation to push certain contact roles to targeted campaigns.
    • Use an *Opportunities with Contact Roles* report, with the filter opportunity won, or any stage you’d like, and then select from the dropdown the contact role values you desire. Now you can see a breakdown of all your contact roles in a pie chart when a dashboard is created from this report.
    • Build a suppression list as a dynamic list for when your prospects are a part of an open opportunity or at a particular stage of an opportunity.
    • If you’re not paying attention to the details, your competition is. Make a suppression list that keeps from emailing contacts that are a part of an open opportunity. Do not have your own horror story!

    Salesforce Object Series | Episode 2 of 5 | The Contact & Account Object for Marketing Admins- Pardot Life Hacks - #09 Oct 08, 2019

    As Pardot is married to Salesforce, marketing admins need to be armed with the knowledge of how the Salesforce objects interact with Pardot for their relationship.

    Jennifer Lynn Schneider delivers episode two of the *Salesforce Object Series, The Contact & Account Object. Companies each have their own definition of how they use the contact object and how to handle contact statuses.

    • Some companies input contacts into Salesforce as customers only. If the data being entered in Salesforce is not a customer, then it does not belong in the CRM as a contact. Other companies use the contact object as a part of an ABM strategy. If someone is part of a company that is a strategic account, all the people you interact with for that company, would be entered into Salesforce as contacts.
    • An account is a property or company that contacts belong to in Salesforce.
    • Pardot is an extension off of the CRM, its success hinges on the due diligence of your team to enter in the data needed for targeted marketing.
    • Jennifer’s Top 4 Considerations
      • Determine key fields that need to be mandatory for the sales team to enter into Salesforce and make sure they are trained.
      • Always give values to select for fields and make the process simple.
      • Do not over complicate the process.
      • Stop over engineering your native Salesforce objects
    • The Pardot completion action “Assign” will never overwrite the assignment of a contact or lead in Salesforce that is already assigned.
    • Contact statuses can be used to trigger entry for a drip campaign. For example, if an account is one year away from their contract renewal, the sales team member can change the contact status to RFP365. This can then be a trigger in Pardot to enter the contact into a drip campaign for contract renewal.
    • “If you are using Pardot as an email manager, then you are missing 75% of its capabilities.” - Jennifer Lynn Schneider

    • Use a custom field to identify account types. - Use values such as strategic, priority, distributor, or channel partner, to help you filter when doing reports or create segmentation lists based on custom fields in Salesforce.
    • Ask your sales team what their top 10 fields are on the contact page. - Ask them what are the top 10 factors they consider to determine whether or not to follow up with someone. What makes them want to go after a contact? What makes them qualify a lead? Then work these fields into your Pardot forms through progressive profiling.
    • Use your internal sales and operations team members. - Have conversations with them to develop content and acquire resources.
    • Always develop picklists in Salesforce and then map them to Pardot. - Do not leave fields on a form as an open text value, because you will not have uniform data throughout your system. It gets harder to create a report and filter by a specific field value, when that value was not already determined. Give drop down options for field values to make the end user experience easy and your data simple to manage.

    Salesforce Object Series | Episode 1 of 5 | The Lead Object for Marketing Admins- Pardot Life Hacks - #08 Oct 01, 2019

    Are you an Accidental Admin? Someone who by happen-chance is now running the back end of Salesforce Pardot, answering questions from end users, and understanding the Salesforce Pardot relationship?

    Are you an Accidental Marketer? A Salesforce Admin that is now managing Pardot campaigns and working in Pardot to execute your marketing automation operations?

    Jennifer Lynn Schneider is speaking to all of the Marketing Admins out there as she delivers the Salesforce Object Series. She breaks down what the lead object actually is and gives the 411 on its’ relationship with Pardot. What is the best way to pass a prospect to sales? How do you stay away from creating dirty data around net new leads?

    • A lead is someone that you have just met. They are a person that you do not have in your Salesforce database yet and you need more qualifying information on.
    • A lead is NOT an account, or an opportunity. It is a person with a first name, last name, and email.
    • Lead conversion is when a lead is converted to a contact and then that contact is associated to an account. Then an opportunity is created and the user can add that contact to the contact role on that opportunity under related lists.
    • Pardot does not differentiate between leads or contacts. The system syncs information when an email or Salesforce ID is matched. When a new prospect is created, Pardot searches Salesforce for a matching email, if there is no match in Salesforce, then that prospect only lives in Pardot. To send a prospect to Salesforce, the prospect must be assigned.
    • Best practice is to have the first completion action on your appropriate form or custom redirect be “Assign to user.” This will create the prospect in Pardot as a lead in Salesforce, if it was not already created as a lead previously.
    • Lead statuses can be used to segment leads that need to be nurtured in specific ways. For example, if a lead has a status of being at a company that is too small for your business’ services, then they can be put into a nurture program that educates that lead more on what your company does. That way, if the lead switches to a bigger company that is in your ideal customer profile, they already know about your business and what you do.
    • Once you align with sales and the rest of your team on the defining criteria for a lead to be sent to sales, think about how you want to gather that criteria.

    • A person without a first name, last name, or email is NOT a lead. - Without this information, this “lead” does not belong in Salesforce. Missing this important information will cause bad data.
    • All salesforce.com users that own leads, contacts, and accounts need to be added as users in Pardot for assignment, email send, and task creation to work properly.
    • Pardot prospects can be assigned to the Salesforce queue to contain, monitor, and report on marketing leads that need further nurturing before being sent to sales.
    • Use other ways besides forms to fill in custom fields or gather information from your prospects to help define if they are a part of your ideal customer profile. Consider having prospects choose between two images of what appeals to them more. You can add a completion action to the image file in Pardot that when it is clicked, to populate a custom field to build the known information about that particular prospect.

    • Using an event is a great way to get started with using the campaign object for connected campaigns because you can start with the different stages of the event and this keeps you from creating too many campaigns. An example of too many, is one for each email sent.
    • Campaign statuses don’t need to be engagement history metrics such as clicked or form submissions, you will get all of that data through the engagement history. Statuses can be used in terms of the campaign process. For a webinar, a status could be registered, then attended,and then lastly, watched the recording.
    • Engagement History is the first feature that allows Pardot engagement metrics to live inside of Salesforce as a part of connected campaigns. When assets are created in Pardot and tied to a connected campaign, they will show up in Salesforce and then you can build a campaign influence report type.
    • Remember to filter by opportunity stage when creating a report. This allows the user to pinpoint what is happening during different stages of the sales cycle and then sales and marketing can team up during the stages where prospective customers are being stagnant.
    • Contact roles give you the attribution to see what campaigns and opportunity that individual was a part of.
    • Advice from Lauren on connected campaigns:
      • Put in the work before connected campaigns are enabled
      • Prepare with engagement history in mind and think about the reports you want to create
      • Restructure your campaign hierarchy
    • In the trailblazer community, don’t be afraid to tag someone with your question. If all your resources have been exhausted and you know someone in the community that is knowledgeable on that particular topic, tag them to start the conversation.
    • Find a user group and join it to get more involved in the trailblazer community. There are user groups everywhere and sometimes it is nice to chat with others that speak the same language you do.

    • Utilize your parent child campaign hierarchy in reporting. - When building a report, the user can then create a campaign filter as the name of the parent campaign and then all the data from the child campaigns will display on the dashboard.
    • Use a start date on your campaigns. - This allows the user to create a global filter by start date, so then campaign data can be seen by quarter, or by a desired customized date range.
    • If your org has the edition above Professional - You have the ability to make contact roles mandatory. Talk to your Salesforce Admin to see what is possible.

In this case, file a case with premier support and contact your Salesforce AE.

    • When creating lightning record pages - Be sure to keep them consistent in regards to the details and related lists. This will help to create a uniform user experience across lightning pages.
    • Always create a detailed description of what a custom report type was for. - You can use the Salesforce Help article to help frame your description. This will keep it clear and concise as your description should communicate the function of the report.

    • If you have a legacy org, set up before February 2019, then pick a date for which you want to amend your assets and use them with connected campaigns moving forward from that particular date. This will help your team focus on what assets you want to migrate and use moving forward with your connected campaigns.
    • Create a master folder in Pardot just for your old legacy assets, so that they do not clutter your Pardot interface.
    • Campaign record types are used to segment different campaigns. Use cases for these could be if business units want to have separate campaigns, departments use different campaign objects, or a specific group in your organization only deals with certain campaigns.
    • Be sure to build child campaigns in Salesforce, so that Pardot has something to map to. There needs to be a 1:1 relationship between the platform campaigns.
    • For those that have a legacy org, you need to make sure that your folder structure mimics the parent campaigns in Salesforce.
    • You can use automation rules to move lists of prospects to a different Pardot campaign.
    • Challenge from Jennifer: Share a tip, a clip, or a podcast, to influence two people and help them become marketing heroes! It’s all about supporting each other and lifting each other up.

    • We are stronger as a team.-Sharing your knowledge with others and building a community of expertise expands your resources and enables yourself.
    • Spend some quality time with your Admin.-Make sure that you have full access to everything you need before diving into connected campaigns. Jennifer’s list includes:
      • Marketing checkbox true on your Salesforce profile
      • Read, write, edit, and maybe delete, access to campaigns
      • All leads and contacts that you are marketing to
      • Create reports and dashboards
      • Any appropriate campaign records
    • Campaign hierarchies are not retroactive-If you have a stand alone campaign and you want to give that campaign a parent, the KPI’s, statistics, and campaign members will not roll up to the new parent campaign. All net new information will roll up moving forward, but the original statistics will stay with that child campaign.
    • Assign to user-All campaign members that you want to sync to Pardot, need to be assigned to a user that is in Salesforce and Pardot. This action of assigning to user creates a lead in Salesforce.
    • Salesforce campaign active-A Salesforce campaign needs to be checked as active to show up inside of Pardot. Make sure campaigns are set up with start and end dates to assist with running reports when filtering by date. If a campaign is in progress, make sure the status is marked as “in progress” and be sure to use the naming convention according to the template your team made.

If you think of the headache you get on Monday mornings because your team can’t seem to wrap their heads around connected campaigns, then check out this episode!

    Jennifer Lynn Schneider delivers the Connected Campaigns Tactical Series, a three-part episode delight. She inspires listeners with the motivation to get started with connected campaigns and the tips and tricks for keeping it simple. It is time to take the leap, give it a listen.

    • Connected campaigns are the foundation to campaign attribution, seeing Pardot KPI’s inside of Salesforce, and getting the most functionality out of B2BMA dashboards.
    • When setting up your reporting hierarchy your first question needs to be “What are you asked to report on?”
    • Get your executives, sales, and the rest of your marketing team together for a white board session and come to a collective decision about what is important for your business to know? On what campaigns do they care about to see reporting?

    • Campaign record types can be used if you do not want certain campaigns being carried over to Pardot from Salesforce. Connected campaigns means that there is one campaign across both tools, not one in each tool. Using a campaign record type helps to separate this.

    • Keep it simple-When you are thinking of bigger level campaigns such as your webinars or events, you do not want anymore than 10-15 of these to start. Prioritize your reporting and decide what matters to your team the most.
    • Start with just a parent and a child-If you are not sure about how to form your hierarchy, or do not have much previous experience, start with just a parent and a child for each campaign. Then once you have a better understanding of how the hierarchy works, then you can form grandchildren and great grandchildren underneath the needed parent and child campaigns.
    • Create a key for abbreviations-Rather than spelling out every type of asset or campaign in your folder structure naming conventions, you can abbreviate, for example, LP for Landing Page. The abbreviation key will ensure that everyone on the team understands what each abbreviation means and will encourage consistency for when your team is naming items in Salesforce and Pardot.

    • In the beginning process of reporting, start with the why. What are you asked to report on?
    • Engagement History custom report types allow you to see KPI’s inside of a Salesforce dashboard. For example, you can now combine sales and marketing reports, create components all on one dashboard to understand what the whole team is doing towards an initiative, i.e. ABM strategy.
    • The shift in user experience is that you should not just know Pardot, but should also know Salesforce as campaigns need to be created natively there first.

    • Engagement History reports are custom reports where marketers can see data on KPIs, opens, clicks, views, for all assets associated to that campaign.
    • Start simple when creating your first few reports. Get a couple quick win dashboards, so that you can show your team the kind of data you are able to capture on your campaigns.
    • A good campaign to start with for reporting could be events or webinars. Think about how all the different campaigns will roll up into that overall event or webinar umbrella.
    • The transition from first touch to multi-touch tracking gives marketers the ability to track the entire customer journey. They can view the campaign history segment on the lead or contact record and see what campaigns the lead or contact was interacting with.

    • Custom Campaign Record Types - If you have multiple marketing departments and you only want certain teams to have access to certain campaigns, only bring over what you want from Salesforce and really streamline what you’re connecting.
    • Marketing Checkbox User True - Do you have marketing access inside of Salesforce.com? Ask your Admin to have the marketing user checkbox marked on your user profile inside of Salesforce.
    • Top Content Campaign - Track your content and look to see what is getting the top engagement and driving revenue by taking those specific files and upload them into Pardot. Associate each file with it’s own child campaign under the Top Content Parent Campaign. You can then have a dashboard of just your Top Content Campaigns and see the influence that each piece of content has.

    Jennifer Lynn Schneider dispels the myths about B2BMA and gives all the Pardot Life Hacks to consider for when diving into using the tool. Do you want to be successful with B2BMA? Check it out!

    • B2BMA is in the Analytics Studio inside of Salesforce. It pulls KPI’s from assets in Pardot. (Social post-B2BMA resides in the Salesforce mansion but it’s pulling information from the Pardot beach house. The relationship makes for the ultimate space for data to be displayed.)
    • The tool comes with five standard out of the box dashboards: Engagement, Marketing Manager, Sales Pipeline, Multi-touch Attribution, and Account-Based Marketing.
    • Before using Multi-touch Attribution, make sure the campaign influence object is enabled.

    • Don’t jump into B2BMA thinking it will solve your issues. You have to do the work ahead of time and make sure that data relationships are already in place. For example, you cannot associate and one objects data to another objects data if it’s not related.
    • Marketers that want full access to the reporting inside of salesforce should talk to their Admin about having the CRM user permissions set on their user profile.

    • Check to make sure you enabled your additional campaign influence models.-This needs to be enabled so that a trigger is sent to go back into B2BMA and allow for access to that Multi-touch Attribution dashboard.
    • You must use the contact role on the opportunity object to associate attribution.-Using the contact role on the opportunity object allows for related lists to be used on both campaigns and opportunities. When a contact role is used on the opportunity object, that becomes the bridge between Salesforce and Pardot. You can go into a campaign and see related lists of opportunities and you can go into an opportunity and see the related list of campaigns.
    • Ask for help to set up B2BMA.-This is not a journey to be traveled alone. Ask your Admin, bring questions to the Success Community, and work with a consulting partner.
