    Planning on your best year yet as a law firm owner?

    Tune in as we are talking more about marketing and join me on my bandwagon of marketing to propel your firm this year.

    As a law firm owner, I know you wanted to create more freedom and profit for yourself. You knew it’s going to be difficult but it can be overwhelming if you’re in the middle of a forever-evolving journey of being a law firm owner. But as long as you keep moving forward where you are now is going to be way different in 5 years' time.

    Marketing and getting clients is what’s going to take your business to the next level. So you can start “Working ON your business rather than IN it”... Which is the goal!

    FREEDOM, PROFIT and GROWTH. So you can do whatever you want for your firm.

    A lot of law firm owners don’t know where to start the marketing plan so what happens is a lot of people get involved like an agency (SEO, digital or ads) then add them as Adhoc thinking it’s a solution in getting more work through the door. But it’s not really an agency that can help you rather you should have a WHOLISTIC MARKETING PLAN. It’s your job as a law firm owner to look at it as a whole.

    You need to spread yourself across these 3 types of marketing:

    • Organic Marketing
    • Paid Marketing
    • Referral Marketing

    This is what I share with my fellow law firm owners at the SCALABLE BUSINESS LOUNGE. I help them create a holistic marketing strategy where we cover all three strategies and more.

    First, let’s take a look at your referral marketing. This is your firm’s “word of mouth” but this is never enough to keep your business growing. You need to be intentional about your referral marketing.

    Here are a few tips for you on how to maximise and launch into 2023 for your intentional referral marketing:

    1. Collate a Target List - You need to know who are these people that are sending work through your door. You might not know these people yet. But you want to create a relationship with these people. As a law firm owner, you want this relationship to be yours. Again, we need to be intentional in creating these referrers.
    2. Collate a List of Events - Think about the local events in your area throughout the year. Pick what you’re going to be involved in this year. What works for me really well is to invite a whole table of people (e.g. Breakfast, charity or ball events). And these people are the ones on my target list. It’s a good excuse to invite potential referrers and build a relationship with these people in a really powerful way.
    3. Collate a List of Venues - In your local area like a restaurant where you can host a couple of lunches. I find it great to host around 10- 20 people and invite them all to one lunch and do it a couple of times a year. And don’t forget to make it fun!
    4. Make Social Media Friends - make some friends on your social media as they can be people that can refer you to work. If there are other lawyers in your area follow them on social media, comment, and make that effort. It’s a good way of tapping into real people that can actually refer to your work and eventually make a connection and invite them to your events.

    I hope these ideas and tips can be useful for you in starting to be intentional when it comes to your referral marketing.

    If You Haven’t Got These Basics Right, Your Marketing Efforts Could Fail! (115) Dec 21, 2022

    2023 is going to be a huge year! So, let’s talk about your law firm’s marketing plan again!

    There is a huge difference between having a great marketing plan for your law firm and executing a great marketing plan.

    Especially since you’re investing your money, time and effort in marketing into getting that phone to ring. You want to make sure to have these things locked down first.

    We have to make sure the team is trained exactly as we want to be, and you want to ensure that everything falls into place and that clients can do business with you super easily!

    So don’t miss any opportunities! Here is a checklist of Tips on getting the basics right when it comes to executing a great marketing plan:

    1. How Long Does Your Website take to Load? How long does your website take to load? We are so impatient these days that we want everything NOW. You need to make sure that your website is loading no more than 2.5 seconds. Check on a regular basis, at least twice a year. Have someone speed it up and check it, you can google to check website speed. Load and check your site regularly to ensure a fast-loading website.
    2. Are All Your Contact Information and Call to Action Buttons Clear? You don't want to be hunting around trying to find a contact and those pages are not linking properly. These are enough to put people off to find someone more convenient. Make sure contact information is not hidden in the footer, it should be at the very top of the page. Like the calendar link, call-to-action buttons like “book now” should be at the top. 75% of clients only check the above-the-fold, and they don’t scroll down. Make sure your buttons and contacts are obvious on your website.
    3. Are Your Website Contact Forms Adequately Connected to the Correct Email? Ensure that your “contact us” button on your website actually goes to the right email address. It's these little things that can go missing and make sure it is correctly connected to whoever’s role it is assigned to (e.g. receptionist) to ensure that emails are responded to quickly. If not, your prospective clients will move on to someone else. For an inquiry have someone instantly email them back and ensure it's not you doing it.
    4. Are Your Phones Answered Promptly? In our experience, if you can’t answer in 3-4 rings client hangs up and find another. They move on to the next one. Get people to phone your office. Test and know how your phone calls are answered. Train to answer promptly how to deal with multiple calls and how many rings you want the calls to be answered.
    5. Do You Have the Right Person Answering For You? Do they know what to do with the calls? Remember, your receptionist is the 1st impression of your law firm. Your receptionist should be confident, friendly, welcoming and efficient. And they should know their limitations.
    6. Are Your Email Inquiries Responded to Quickly? You need to have a system in place to ensure that it happens really well. Email response should be within the hour. Do you know what's happening to those inquiries? As a law firm ower sometimes we forget that other people don't think like us. Little things like how quickly you want to respond to enquires. Training and setting them up with expectations, policies, and procedures are going to really help.
    7. Can Prospective Clients Actually Get An Appointment With You Quickly? Is there availability on your calendar? You spend money and time driving people to your calendar app. Make sure it looks like you have availability and the receptionist fits them in for the next availability to make it more appealing. Make sure that the calendar app is not connected to each lawyer's calendar instead, create one calendar app open all the time with 100% availability.
    8. Set up Client Reminders to Prospective Clients To Their Appointments. Ensure booking turns up by having a team (e.g. receptionist) phone the prospective clients of their scheduled appointment to avoid no-shows.
    9. Make Sure to Spell Out to your Clients to Retain You. You converted a client to an initial appointment, whether paid or free…what next? Spell out how they can actually retain you. Now that they know how to retain you and clients may not know. Make sure to spell it out. Make it clear. Sign a cost agreement and put money in trust so you can start. And they know that they have a lawyer that is committed to them and know that the work gets done for them

    Get these basics and essentials done before putting all the efforts into your firm's marketing. To have a seamless system in putting efforts in your marketing and well-oiled machine, and you are ready to start marketing the heck out of your law firm for 2023.

    Be Ahead of the Crowd in 2023 with this Strategy (114) Dec 01, 2022

    You are in for a treat as I’m doing this podcast with the gorgeous view of the pool from the gazebo and the sounds and tunes of Bali in my background, as we discuss your 2023 Marketing plan for your law firm.

    If you haven’t started to create one yet or are unsure how to create one that will work for your law firm then listen on.

    It is not an effective marketing plan for your law firm to rely on a handful of referrers. That might be enough if you are a solo law firm owner and you only need enough work for yourself, but not if you want the freedom that having a team can bring you.

    Referrals usually only trickle in, and it is unpredictable. Getting the basics right for an unshakeable law firm marketing plan for 2023. Especially since experts predict a turbulent and fragile economy and rising interest rates. This means that law firms either struggle or thrive depending on the area of law you practice.

    There is so much uncertainty right now, and the impacts are unknown. We will discuss what to do to protect your law firm and create stability for you and your team. Why it's crucial to get into it early...don't miss out on the incredible new year start.

    Boost Your Firm's Presence With Directory Listings (112) Nov 08, 2022

    There are loads of advantages for your law firm to list their legal service on directories. It is worth having one of your legal team or a VA from Fiverr to list your law firm and legal service for these reasons:

    2. They can amplify your online presence can put you ahead of the crowded legal space.
    3. It can assist with your law firm's SEO.
    4. You can gain exposure as online business directory sites are often on the front page of Google.

    Round Up Of The Clio Conference (110) Oct 25, 2022

    In this episode of Scalable Law, Caralee shares her experience of attending and exhibiting at the Clio in the Cloud Conference in Nashville. She discusses the conference, what happens there, what some of the topics are, who you can connect with and if it is worth attending even from afar.

    Clio In The Cloud Conference Wrap Up

    The 2022 Clio Cloud Conference (ClioCon) was a huge event. There were approx 4000 lawyers at the event in person, with 1,000 attending virtually. The conference was held at Gaylord Grand Ol Operland in Nashville, which is a huge and spectacular hotel. The Clio Cloud Conference was held over several floors of the event centre in the hotel, and the attendees all stayed at the venue as there is not a lot around the hotel itself as it is away from the downtown area in Nashville.

    To get the event started, the first keynote was from Clio's CEO and Founder, Jack Newton. Jack told the crowd only ten years ago, Clio was a 70-person team. In 2022 the team has grown to 900 employees.

    There was the exhibit hall that was filled with different products that can support legal teams. Many innovative legal tech products can be used to streamline, systemise and automate law firms.

    Two Days of Learning How To Grow Your Law Firm

    Across the two days, there were many masterclasses and workshops. The 2022 Clio in the Cloud agenda was jam-packed with information for law firm owners who want to grow their teams, create efficiencies, market their firms and streamline. Topics ranged from billing practices to social media to automating workflows to creating better client experiences and more.

    Then, of course, there was the networking, mingling and having fun. Clio in the Cloud put on an unforgettable experience at the Grand Ole Opry for all the attendees. And then there was an after-dark party right in the middle of Broadway in Downtown Nashville. These experiences gave attendees time to mix and get to know each other to make valuable connections in the legal industry, making the event even more worthwhile.

    How To Build a Strong Relationship With Your Legal Clients (108) Oct 05, 2022

    I recently reflected on my experience as a builder's client when I renovated my house. It was a 12-week project that turned into a 10-month project and had us out of the home and floating around from Airbnb to Airbnb. To say that it wasn’t stressful would be an outright lie. It was an incredibly hard process for me, the costs were stressful, and everything was out of my control.

    There are aspects of the service that I received that were great and others that were not. As a client, the small things counted a lot towards my satisfaction with the service I received. Apart of course from having a well-renovated home.

    We can forget what it is like to be on the other side of the fence as we get used to dealing with legal matters. Clients can feel stressed, out of control and that they are not receiving value if the small parts of the service are ignored.

    I find as a leader of lawyers that, I get complaints from clients mostly for the small things. But for them, in turns into a major. It could be not returning a call, not updating or a lawyer saying they are really busy!

    In this podcast, I share the tips that make you a great law firm to deal with. These are all simple to implement into your practice. If you have a team, ensure you speak to them about your expectations for service and brainstorm together how you would like to be treated as a client.

    1. Showing Interest In Your Clients

    We are here to help our clients with their legal issues, however often, there is much more to the story for our clients. There are emotional aspects to why they need to engage a lawyer, and it is important that as lawyers to give the best possible service, you show an interest in other aspects of the client's life.

    2. Updating Your Clients Regularly

    Ensuring that clients are not left wondering how their matter is going, but rather acknowledging client inquiries and returning calls even when there is nothing to update. Being proactive and calling clients to check in with them and to let them know the status of their matter.

    3. Giving Your Client Adequate Attention

    Clients like to feel like they are a priority; I certainly did when I was a client of my builder and was getting my renovation done. Saying that you are too busy for their matter or that they are not a priority is not going to help you build a close relationship with your client. Clients don’t care about your other clients! I find one of the complaints that I receive from clients about my team is that they were made to feel that their matter wasn't important. It is difficult when you are running many matters, and some have higher priorities than others. The key here is to be careful in the language that you or your team use to ensure that your clients feel that they are getting the attention they deserve.

    4. Following Up Your Client

    Following up with your clients and making sure that everything is going well for them is great client service. You will have your client coming back to your legal service when they require it, and they will also send you referrals. Going the extra mile always pays off.

    5. No Nasty Surprises

    No one likes surprises when it comes to their legal service. You must have really clear communication with your clients through the client journey to ensure that there is transparency every step of the way.

    Not all, but most surprises are unavoidable if the lawyers in your firm are open and transparent with their communication.
